Booking terms and conditions

  • A duty manager will be provided and available throughout the hiring; please note that the duty manager cannot cover front of house – this must be arranged by the Hirer.
  • It is the responsibility of the Hirer to ensure that entrances to the buildings are monitored at all times.
  • The Hirer will ensure that fire exits and escape routes are kept clear at all times. They must also be familiar with the Fire Action Procedure, and the location of the fire extinguishers (at all exits), and the First Aid kit (Manager’s Office). The Fire Action Procedure can be found on the Church noticeboard, schoolroom and kitchen.
  • The Hirer is responsible for all activities  taking place during the letting time, ensuring that all obvious health and safety precautions be taken. Any accidents, however minor, are to be reported to the Managers.
  • The Hirer is responsible for ensuring the safeguarding of any children and young people and/or vulnerable adults – see copies of the Parish safeguarding policies attached.
  • The PA system is available for use in the nave and chancel; please advise those using microphones to speak loudly and clearly for best effect.
  • The piano cannot be removed from the church; it may be used by professional players if this is agreed beforehand; please do not place anything on the piano.
  • The Raikes chapel is not to be used for storage.
  • Neither the pulpit nor the font may be moved.
  • Most of the interpretation panels and banners may be moved; please discuss this beforehand.
  • Open flames may be used by agreement; any wax spills are to be cleaned by the Hirer.
  • Please stack chairs on the dollies provided, leaving 20 out in the nave.
  • During the booking the Hirer of the Church and Schoolrooms will also ensure that:
    • No person marks or damages any part of the building or its contents, or fixes anything to the structure, furnishings or contents of the building, including the walls.
    • There is no smoking permitted in any part of the Church or Schoolrooms.
    • All relevant legislation relating to the sale and consumption of alcoholic drinks in the Church and Schoolrooms is complied with.
    • All relevant legislation relating to the storage, preparation and cooking of food is complied with.
    • Any electrical appliances brought into the Church and Schoolrooms should be in a safe working order, correctly fused and be in date PAT tested.
    • The likely use of live or recorded music in the Church and Schoolrooms is disclosed when booking, and that the necessary permissions are obtained and any royalties due are paid.
    • The buildings must be left clean and tidy.
    • Any equipment belonging to Discover DeCrypt must be left clean and tidy.
    • All breakages and any damages to the Church and Schoolrooms are reported to the managers; note that any damage or breakage that is the responsibility of the Hirer will be charged for.
  • The buildings must be vacated by the agreed time; if not, an additional cost of £30 per hour or part thereof, will be incurred by the Hirer.
  • An agreed number of items may be left for collection on the following day (or at another agreed time); this must be discussed and approved beforehand.
  • Please allow some time to familiarise yourself with the lighting system; presets allow a variety of mood lighting, which the duty manager can guide you through.
  • For some events a damage deposit of £100 will be taken at the time of booking; this will be returned after the event once Discover DeCrypt is satisfied that there has been no damage.
  • The chancel and Raikes chapel may be used for additional seating, bearing in mind that these will be restricted in view.
